For our Headquarters in Cologne we are looking for a Assistant to the Executive Management to start as soon as possible.
As Assistant to the Executive Management of Malteser International, you will take on a variety of tasks to support our leadership team consisting of three people (Executive Director, Director Programme Operations and Director Business Control). If necessary, you will also provide selective support to other management units. You will be MI's first point of contact for external partners and internal units at Malteser International's headquarters.
Your responsibilities:
- Supporting the three-person leadership team in all administrative and organisational matters
- Independent management of various events such as team events, strategy meetings and board meetings
- Organisation of business trips, meetings and conferences as well as general supervision & support of external visits and delegation trips
- Coordinating the smooth running of office processes, resource management and communication
- General office management such as telephone and written correspondence in German and English, appointment coordination and Outlook administration, stock ordering, preparation of minutes and presentation documents, processing of invoices and cost reimbursements
- General administrative support for employees and MI facility management (relocations, room planning, etc.) in close collaboration with the service and building management team
Your profile:
- Completed vocational training and/or studies in administration
- Several years of professional experience in office management/assistant to the management
- Very good knowledge of MS Office and common office software
- Organisational skills and ability to work independently, responsibly and reliably
- Flexibility and ability to adapt to different management styles and rapidly changing contexts while demonstrating diplomatic skills
- Confident verbal and written expression in German and English, other foreign languages are an advantage
- Knowledge and experience in the environment of international organisations is an advantage
